That was the whole point.

Then you wanted to text your clients about the Saturday you had open, and that was an add-on. Then you wanted an intake form for the color consult, and that was an add-on. Then you wanted to sell the leave-in conditioner you keep recommending, and that was an add-on too. Six months in, you open the invoice on your phone between clients and the number at the bottom is not the number you signed up for.

Nothing shady happened. The base price was the base price. The marketing and business tools you needed were just sold separately — and that’s the actual difference between StyleSeat and Vagaro, not the sticker on the front page.

The summary:

The base prices are nearly identical. Vagaro lists at $30/month for one location and one bookable calendar. StyleSeat is $35/month, currently running a promotion at $19/month.

The gap opens when you add marketing. Text marketing, forms and an online cart are separate purchases on Vagaro — about $70/month once you turn them on, against StyleSeat’s $35 ($19 on the current promotion). That’s $420 a year for tools that are included at StyleSeat.

The menu goes a long way past that. Twelve Vagaro add-ons carry a flat price and total $304/month if you bought every one. Nobody does — but a branded app alone is $100/month.

New clients are the biggest line in this comparison, and neither pricing page carries it. Say two new clients a month at $100, rebooking every six weeks: that’s 122 appointments and $12,200 in service revenue in year one. StyleSeat charges 30% of the first appointment for a client it sends you, capped at $50, once per client, ever — $720 across all 24. Vagaro charges $0 for a new client, and finding them stays your job.

The base prices are close. That’s not where the money is.

Vagaro lists at $30 a month for one location and one bookable calendar. You’ll see $23.99 advertised — that’s an introductory rate for your first six months. Each additional staff member is another $10 a month — $40 for two, $70 for five, $90 for seven — with no published ceiling, and there’s a 30-day trial. StyleSeat includes staff calendars at no extra cost, so Vagaro crosses StyleSeat’s $35 at your second person.

StyleSeat is $35 a month, with a promotion running at $19 right now, and a 21-day trial.

Five dollars apart. If that were the whole comparison, you should pick whichever app you like looking at.

The gap is the marketing menu

Here’s where the two diverge. Vagaro sells its marketing tools one at a time, on top of the base — twelve of them at a published flat price:

Vagaro add-on

Monthly price

On StyleSeat

Text Marketing

from $20

500 included,

Email Marketing

Free to start (1,000 emails/mo)

Included

Forms

$10

Included (Custom Forms)

Online Shopping Cart

$10

Product sales at checkout

Vagaro MySite (website)

$20

$10 add-on

Branded App

$100

Not offered

Payroll

$34 + $5/employee

Not offered

Check-In App

$10

Not offered

Live Stream

$10

Not offered

Vagaro Drive (storage)

from $10

Included

QuickBooks / Xero

$10 / $30

Not offered

Data Lake

$40

Business analytics included

Vagaro add-on prices verified from Vagaro’s add-on menu, August 31, 2026. Text Marketing and Vagaro Drive are “starting at” floors. Fill My Books says only that fees apply.

Take the narrow version — the things a solo pro reaches for in her first year. Base $30, text marketing $20, forms $10, online cart $10. That’s $70 a month on Vagaro to get to tools already sitting inside StyleSeat’s $35. Thirty-five dollars a month of daylight. Four hundred and twenty dollars a year.

Add a booking website and it’s $90 on Vagaro (MySite is $20) against $45 on StyleSeat, where a custom AI-built booking site is a $10 add-on. The ceiling, if you bought all twelve flat-priced add-ons, is $304 a month on top of the base — not a bill anyone actually pays, just how far the menu goes.

The math that answers it for your business

National averages are useless here, because your column isn’t average. Run it on your own numbers instead:

Write down the base price, then add every add-on you’d actually switch on. That’s your real monthly.

Divide it by your average ticket.

That’s how many appointments a month go to the software before you’ve paid rent, product or yourself.

At a $70 average ticket, StyleSeat’s $35 is half an appointment. The $70 Vagaro build is a whole one. Neither is a catastrophe — but it’s a real appointment, every month, and now you know which one you’re working.

What you’re actually buying back is Tuesday

Here’s the thing none of these pricing pages say out loud. You did not get licensed so you could compare software. You got licensed because you’re good with your hands and you like the moment a client turns toward the mirror and goes quiet for a second. The retwist that took three hours and looks like it took one. The regular who tells you things she hasn’t told her sister.

All the admin exists so that work can keep happening. Every hour you spend rebuilding a text campaign, or working out which add-on holds your intake forms, came out of the craft. That’s the real cost of a platform sold in pieces — not the $10 line items, the assembly.

The other line on the bill: what it costs to get a new client

This is where they stop being versions of each other.

Vagaro charges no new-client fee. Your marketplace listing is free. If you want promotion beyond the listing, Fill My Books is their paid option, and they publish only that fees apply.

StyleSeat charges when it brings you someone. New Client Connection is 30% of the first appointment’s service cost, capped at $50, charged once per client and never again — and only after the service is done. StyleSeat spends millions a year on Google, Meta and Apple advertising for pros, and the marketplace takes 74M+ visits a year from 2M+ clients actively searching.

What that looks like on a real ticket: a barber charging $45 pays $13.50 and takes home $40.50, assuming a 20% tip — the fee comes off the service, never the tip. A braider at $200 pays $50, the cap, and takes home $190. Every appointment that client books after the first one costs nothing. You can also turn New Client Connection off whenever you want.

Held side by side: on Vagaro, finding new clients stays your job and costs nothing per client. On StyleSeat, it’s a $50-maximum cost to acquire one, with nothing spent upfront. Which is the better deal depends entirely on whether your book is full.

StyleSeat

Vagaro

Subscription

$35/mo (promotion at $19)

$30/mo list; +$10 per extra calendar, to $90 at 7+

With the marketing tools turned on

$35 — included

~$70 (base + texts + forms + cart)

Card present

2.5% + $0.30

Vagaro advertises rates “as low as 2.2%”

Card on file

2.6% + $0.30

Not verified

New-client fee

30%, capped at $50, once per client

None

Client booking fee

$2.35, paid by the client

None

Free trial

21 days

30 days

Verified August 31, 2026 from each company’s own pricing page and help center. Vagaro’s processing rate is their published claim, not an independently verified figure.

The $2.35 belongs in that table because a comparison that hides it isn’t worth reading. Your client pays it when she books, not you, and StyleSeat’s figure is that it cuts no-shows by over 80%. One saved no-show on a two-hour color pays for a lot of $2.35s.

The line no pricing page carries

Everything up to here is what the two companies charge you. Neither table prices what they send you — and that isn’t anyone hiding anything, because a pricing page can only price what it bills. It does mean the biggest number in this whole comparison is the one that never appears on an invoice.

So run it on your own book. Say two new clients a month. Not a promise, not an average — a number small enough to be boring. Say each one pays $100 and comes back every six weeks.

Two a month is 24 clients over a year. Six weeks between visits is about eight and a half visits in a full year (52 ÷ 6 = 8.7). But they don’t all walk in during January, and that’s the part napkin math usually gets wrong: the client you pick up in month one books nine times before the year is out, and the one you pick up in month twelve books once. Stack all twelve arrivals and you land on 122 appointments and $12,200 in service revenue in the first year.

What two new clients a month adds up to

Cumulative service revenue across 12 months. Assuming a 20% tip, those 122 appointments put about $14,640 through your card reader; after the $720 and card processing you keep roughly $13,500.

That’s the number to hold next to the subscription line. $35 against $30 is a $60 difference over a year. The gap in that chart is $12,200. You can spend a long time optimizing the wrong one.

To be fair to Vagaro

Vagaro is not a scheduler with no front door. Its marketplace page claims 52M+ people searching and 35M appointments booked a year, and it runs this same arithmetic on its own site — its example uses thirteen new clients a month at $100 to reach “up to $75,000 in additional annual revenue.” So the two companies don’t really disagree about how big this line is. What neither of them publishes is how much of it lands in one chair, in one ZIP code, in one category, which is the only version of the number that’s any use to you.

Where they do differ is the shape of the deal. Vagaro charges $0 for a marketplace client, and finding new ones stays your job. StyleSeat charges the 30% only when it hands you one, spends millions a year in ads to make that happen, and stops charging at $50. A $0 new-client fee and a capped one cost exactly the same in a month when the chair stays empty. They stop being the same in the month it doesn’t.

And if your book is already full, throw all of this out. Two more clients a month is a scheduling problem, not a windfall, when there’s nowhere to put them — at that point you’re buying admin rather than demand, and the cheaper subscription with only the add-ons you actually use is the better call. Price the empty chair if you’ve got one.

Where Vagaro is the better buy

If you have employees on payroll, Vagaro runs it for $34 a month plus $5 per employee. StyleSeat doesn’t do payroll at all — same for commission splits, inventory with real stock levels, and managing more than one location. Vagaro specializes in all of that and is genuinely good at it. If you teach classes, or run a med-spa with detailed charting, that’s their home ground too — the check-in kiosk and live stream add-ons exist because that’s who they serve.

StyleSeat supports staff calendars today at no extra cost, and there’s a small-salon setup in beta with a receptionist and multi-calendar booking. But if you’re running a floor of commission stylists with payroll and stock, take the one that fits.

So which one

It comes down to one question, and it isn’t about software. If your book is full and your problem is running the business — staff, payroll, stock, classes across two locations — Vagaro’s base is strong and its menu goes wherever you need it to.

If your problem is empty slots on a Tuesday, the comparison isn’t $30 against $35. It’s a platform where marketing is a series of purchases against one where it’s included — email and text marketing, client reminders, an automated booking assistant, business analytics, promotions, loyalty, AI social posts and review management, all inside the $35 — with an acquisition engine attached that charges you only when it delivers.

StyleSeat is $35 a month, and there’s a promotion running at $19 right now, with a 21-day trial. Start your free trial.

Questions pros ask

Is Vagaro cheaper than StyleSeat?

On the base subscription, barely — Vagaro lists at $30 a month against StyleSeat’s $35 (currently promoted at $19). Once you add the marketing tools, it flips: text marketing, forms and an online cart bring Vagaro to about $70 a month, and all three are included in StyleSeat’s $35.

What does StyleSeat cost per month?

$35 a month, with a promotion running at $19, and a 21-day free trial. A custom AI-built booking website is a $10 add-on. Card processing is 2.5% + $0.30 when the card is present and 2.6% + $0.30 for a card on file.

Does Vagaro charge a commission on new clients?

No. Vagaro has no new-client fee, and its marketplace listing is free; its paid promotion product, Fill My Books, publishes only that fees apply. StyleSeat charges 30% of the first appointment’s service cost, capped at $50, once per client and never again — and you can turn it off.

Does StyleSeat charge my clients a fee?

Yes — $2.35 at the time of booking, paid by the client, not by you. Vagaro doesn’t have one. StyleSeat’s figure is that the fee reduces no-shows by over 80%.

Which one is better if I have staff?

Vagaro, if you’re running payroll, commission splits, stock-level inventory or more than one location — it does all of that and StyleSeat does not. StyleSeat supports staff calendars at no extra cost today, and a small-salon setup with a receptionist and multi-calendar booking is in beta.

How much is a new client actually worth to me?

Run your numbers, not mine: new clients a month × 12 = clients a year; 52 ÷ weeks between visits = visits a year; multiply by your price. At two new clients a month, $100 a visit and a six-week cycle, that’s 122 appointments and $12,200 in service revenue in the first year. StyleSeat’s cut of it is $30 a client — 30% of the first appointment, capped at $50, once ever — or $720 across all 24. A barber at $45 on a three-week cycle and a colorist at $250 twice a year end up somewhere completely different, and both are right.

You don’t have to get this permanently right. You have 21 days on one and 30 on the other, which is enough time to find out which app you actually open on a Tuesday morning — and that’s the one that ends up running your business.

{
  "@context": "https://schema.org",
  "@graph": [
    {
      "@type": "BlogPosting",
"headline": "StyleSeat vs Vagaro: What Each One Actually Costs a Month",
"description": "Vagaro lists at $30 a month and StyleSeat is $35.
