Something came up. She is so sorry. She will definitely rebook.

That appointment was a full knotless set. Six hours, parted and laid, the whole morning and most of the afternoon. Nobody is filling six hours at 7:42 on a Saturday, and you already bought the hair.

This is where most pros go looking for a deposit, and also where most write a salon deposit policy that will not survive its first real test. What makes it hold is not the number. It is that she read it before she booked, and that you apply it the same way to everyone — including the client you like.

Short version

A policy that holds is four or five sentences and names four things: the amount, whether it comes off the service total, the notice window, and what happens on a late cancel versus a no-show versus a reschedule.

Say it in three places — booking page, confirmation, reminder. A client who saw it before she paid cannot be surprised by it later.

Pick the amount with a formula, not a feeling: cover the part of the ticket you could not refill on the notice you gave yourself.

Prevention beats enforcement. On StyleSeat the client pays a $2.35 booking fee at booking, and StyleSeat’s figure is that it cuts no-shows by over 80%.

A deposit policy that holds names four things

This is a promise about money, written for someone reading one-handed in line at Target. Here is copy you can paste, with two blanks to fill — your amount, and your window in hours.

A [amount] deposit holds your appointment. It comes off your total at checkout — it is not an extra charge. If you need to cancel or move, tell me at least [window] ahead and your deposit moves with you. Inside [window], the deposit covers the time I cannot refill. If you do not come and I do not hear from you, the deposit is kept, and a new one is required to book again.

On the amount, skip the benchmark hunt — nobody’s average is your average. Cover the piece of the ticket you could not have refilled on the notice you gave yourself. If that math starts a bigger conversation about what the service is worth, there is a script for raising your prices.

The confirmation message is where the policy gets read

Nobody reads terms. Everybody reads the text that says what time to show up. So the confirmation is the real home of your policy — same facts, fewer edges.

Hi [name] — you’re all set for [service] on [day] at [time]. Your [amount] deposit is on file and comes off your total that day. If anything changes, let me know [window] ahead and I’ll move the deposit with you. Bring a snack, it’s a long one. See you [day]!

That is the whole policy, and it does not read like one. Send it again in the reminder the day before: “Reminder — [day] at [time]. Deposit’s on file and comes off your total. Text me by [time] tomorrow if you need to move.” A client who got that and still vanished cannot say she did not know.

Late cancel, no-show, reschedule: decide once, then stop deciding

Policies collapse because the pro decides in the moment, client by client, while she is tired. Write the three rows down and the deciding is already done.

What happened

What your policy says

What you actually do

Late cancel — she tells you, inside the window

“Inside [window], the deposit covers the time I cannot refill.”

Thank her for telling you. Keep the deposit, offer the next opening, take a fresh one to hold it. No lecture.

No-show — no message, empty chair

“If you do not come and I do not hear from you, the deposit is kept, and a new one is required to book again.”

Keep the deposit. One short, neutral message that day. New deposit before she gets another slot.

Reschedule — she wants to move it, not cancel

“Tell me at least [window] ahead and your deposit moves with you.” Inside the window, a move counts as a late cancel — say so.

Outside the window: move it, deposit rides along, no drama. Inside: make the same call every time. Many pros allow one inside-window move per client, ever, and say it out loud.

The three events every deposit policy has to answer, with template language and the consistent action behind each. Swap in your own amount and window. Verified August 2026.

A deposit is not the only lever, and often not the first. Whether to charge for no-shows and late cancellations at all is the upstream decision, and a no-show policy is the piece that sits next to this one.

What to say when someone asks for an exception

It is almost never a stranger asking. It is the client whose kid you have watched grow up in your chair.

I hear you, and I’m sorry — that’s a real thing, and it’s not you being flaky. Here’s where I land: the deposit stays with the appointment, so let’s get you back on the books and I’ll put it toward the new date. I hold the same line for everybody, and honestly that’s the only reason I can keep my Saturdays open for the people who show up. Does [day] at [time] work?

Say it once, then let it be quiet — a professional who over-explains her policy sounds like she is asking permission for it. Waiving it on purpose is fine: a death, a hospital, four years of showing up on time. Inconsistency is waiving it because you could not stand the discomfort of the text.

Six hours is not a slot, it’s a day

What the deposit protects is not really the money. It is the morning you blocked off, the playlist you picked, the parting you know how to make disappear into the scalp. A six-hour braid appointment is a relationship — she tells you about her job, you tell her about your mother, somebody orders food halfway through. Loc techs know this. So does a lash artist two feet from someone’s face for two hours.

Which is why a deposit is not unfriendly. It is what lets you stay generous. A stated policy lets you be soft with people, because the structure is doing the worrying.

What a booking platform can carry for you

Most of what makes a policy hold sits upstream of it, and that is software work, not willpower work.

On StyleSeat, you can set a deposit policy easily as part of your standard subscription (no additional fee like some other platforms). You can set it for a percentage of the service or a set dollar amount, you can set the cancellation/reschedule window that works best for you, and you can decide if you require it for all clients, or if you want VIP clients or return clients exempt. Premium is $35 a month standing, currently running a promotion at $19 a month.

Questions service professionals often ask

What should a salon deposit policy actually say?

A salon deposit policy needs four things in four or five sentences: the amount, whether it comes off the service total at checkout, the notice window in hours or days, and what happens in each of three cases — a late cancel inside the window, a no-show with no message, and a reschedule. Any case you leave blank gets read in the client’s favor.

How much should my deposit be?

Set the deposit to cover the part of the ticket you could not refill on the notice you gave yourself. A short service a waitlist picks up in an hour needs a small deposit; an all-day Saturday install needs one big enough that the morning was not free. That formula holds in any market.

Is a deposit the same as a no-show fee?

No. A deposit is collected before the appointment and normally comes off the total at checkout, so a client who shows up pays nothing extra. A no-show fee is charged after the fact, which means chasing money from someone who already left you with an empty chair. Deposits hold more easily because the decision and payment was made at booking, not in an argument.

Will a deposit policy lose me clients?

It will lose some bookings that were never going to show, which is not the same thing. Prevention does most of the work before a policy fires.

Write it once, this week

Take the four sentences above, fill in your two blanks, and put them on your booking page and in your confirmation. What you get back is not really the deposit money. It is a Saturday you can count on, and permission to be the warm one — because the policy is holding the line so you do not have to.

This is policy guidance for running your book, not legal advice. Deposit and cancellation terms are regulated state by state — run your wording past a local attorney for certainty about enforceability where you work.

Last updated August 28, 2026 by the StyleSeat editorial team.

{"@context":"https://schema.org","@type":"FAQPage","mainEntity":[
{"@type":"Question","name":"What should a salon deposit policy actually say?","acceptedAnswer":{"@type":"Answer","text":"A salon deposit policy needs four things in four or five sentences: the deposit amount, whether it comes off the service total at checkout, the notice window in hours or days, and what happens in each of three cases - a late cancel inside the window, a no-show with no message, and a reschedule.
